International Events Manager W/M

We provide services to the most influential people everywhere, every time. Our expertise is rooted in providing services to the Parisian luxury hotels known as the Palaces of Paris. Our expertise is today coupled with the management and provision of bespoke journey solutions for large-scale public or private events.

We are looking for an International Events Project Manager W/M on temporary or permanent contract.

Main duties

  • Coordinate transport operations for our clients’ events in France and abroad.
  • Be the client’s dedicated point of contact in the operational follow-up of his event, from the briefing to the post-production.
  • Propose customized organization and solutions to answer each event’s specific needs.
  • Ensure the link between the client and the different actors (internal or external) of the project.

Main tasks

  • Study the events specifications.
  • Attend client meetings (AO, briefing, inspection trips, follow-up meetings, debriefing…).
  • Accompany and advise the client in adapting his expectations to the possible constraints of the event’s location.
  • Define and plan the necessary actions for the project and their execution deadlines (retroplanning).
  • Define, set up and coordinate the material and infrastructural needs of the project.
  • Define, set up and coordinate the people needs necessary for the project.
  • Organize one or more inspection trip(s) (including travels in France and abroad).
  • Select, coordinate and lead the project team and the involved internal and external actors.
  • Produce and implement tools and documents for the successful completion of the project.
  • Establish and update the estimated project budget for the client.
  • Monitor and optimize the costs and the clear margin.
  • Identify, anticipate and manage constraints and difficulties related to the event and its destination.
  • Supervise the team and the organization of the project during the event.
  • Supervise the valuation of the services and the sending of the pre-billing statement to the client.
  • Ensure the administrative and financial closure of the project (expense reports, invoicing, etc.).
  • Carry out an internal post-production feedback and highlight best practices and areas for improvement.
  • Build and share with the client a post-event report, both qualitative and quantitative.
  • Follow up with the Events Director on the progress of the project and any difficulties encountered.

Other possible tasks if needed

  • Take part in building proposals for events tenders.
  • Set up tools, procedures and best practices useful for event management.
  • Update, enrich and qualify databases (drivers, coordinators, service providers, etc.).
  • Assist and participate in some commercial actions, if needed.
  • Join a project team coordinated by another event project manager.

This list of tasks is not exhaustive, and may evolve and/or be completed according to the needs of the Chabé group’s business.

Internal and external relations

  • Belonging to the Front Office and Events department, under the hierarchical responsibility of the Front Office and Events Director.
  • The Supervisor will be primarily in contact with :
    – Chabé Group clients.
    – Chabé group teams based in France, Switzerland and the United Kingdom.
    – External partners / providers involved in events.

Working conditions and location

Position based at Chabé (Paris) headquarters in Nanterre, with regular travels in France and abroad.

Profile

  • Fluent in English and knowledge of French preferred
  • Proven international experience of at least 3 years in event transportation.
  • High mobility, availability, flexibility and adaptability.
  • Leadership and strong sense of team and project management.
  • Taste for challenge, and very good management of stress and difficulties.
  • Excellent ability to structure, coordinate, supervise, delegate and make decisions.
  • Rigor, method, organization and management of priorities.
  • Strong sales/negotiation skills, ability to propose and find solutions.
  • Relational skills (oral and written) and a taste for customer contact.
  • Facility with IT tools.

    Global Client Service Advisor

These roles sit at the heart of our operation and are key to deliver our excellent client experiences.     Times: 4 Days on 4 Days off pattern 4am – 4pm
    Type: Permanent

    Reports To: Operations Director and International Operations Director

    Job Purpose:

    1. Support the client facing activities of the Chabé London office
    2. Operational support to our international activity
    3. Control of London based resources
    4. Monitoring of real time journey status

    Knowledge & Skills:

    • Full understanding of the products offered by Chabé
    • Ground transport industry knowledge
    • Exceptional attention to detail
    • Excellent telephone manner
    • Use of the written word in client facing communications.
    • Organisational skills, methodical approach
    • Excellent time management
    • Good understanding of Office 365 and commonly used software applications
    • Good knowledge of London and home counties area
    • Wider geographic knowledge of major countries and their major cities
    • Prioritise workload in a pressured environment

    Desirable:

    • Reporting and analysis of data
    • Confidence when meeting clients face to face.
    • Excellent global geography
    • Highly numerate
    • Previous experience of a control or service monitoring environment

    • Provide a full and effective handovers to stakeholders to ensure service delivery excellence.
    • Engage with colleagues with regards any potential, perceived or actual service issues.
    • Allocate services within the Group and our international partners
    • Effectively control and allocate services to London resources
    • Monitor services in all locations
    • Assist with business development activities
    • Work with clients via e-mail, phone and face to face to review, amend and develop service options
    • Influence key internal stakeholders to ensure suitable support.
    • To work as part of a team, to ensure the smooth and successful provision of all types of work as instructed

      As Chabé grow our client base and confidence returns to the market, we are looking to recruit excellent, experienced independent operators with a knowledge of Events and/or Roadshow services in addition to usual chauffeur activity.

      We seek chauffeurs with Mercedes E, S and V class, BMW 7 series or Range Rover vehicles registered after 1st September 2017.

      We in particular welcome enquiries from those with 2nd language skills and from all genders. You and your vehicle of course must be fully licenced.
